For CTS-220.IP-GNM, there are 3 types of phonebooks available:

  • Private book– only user of phone can see this book entries,
  • Public book – all PBX users can see this book entries,
  • Extensions – list of all PBX internal numbers.

Extensions list is upgraded only by PBX administrator. Phonebook are stored in system, and are not loosen while changing or damaged phone.

Search for Internal numbers in Subscriber list

1 Press Arrow key down key.
2 Enter part of name you are looking for or select desired subscribers group.
3 Using UP and DOWN arrow keys search for entry among selected entries.

After displaying searched subscriber, user can call it by picking handset or assigning contact to BLF button.

Seeking through public and private phonebook

1. Press Book contextual key.
2.| Choose public or prvate book.
3. Choose Search option.
4. Type part of name that is being searched and press Search contextual key.

Saving number to phonebook

1. Press Book contextual key.
2. Pick phonebook to save number to (Add to private or Add to public).
3. Press key Options and next press Select contextual key. When adding to public book, option Add new record will appear if subscriber has proper priviledges given by system administrator.
4. Choose name for contact.
5. Type number of contact.
6. Select which number save to phonebook.
7. Confirm and save.

Saving a number during call

During call, if caller presents its actual number, we can add him to phonebook.

1. Press Options key.
2. Choose Book option.
3. Choose Add to private or Add to public.
4. Type in name you wish, next press Number.
5. Confirm save pressing 'Save'.

Saving from call history

1. Enter menu and then choose Call register.
2. Select desired record from call history.
3. Press Options key.
4. Choose Add to private or Add to public.
5. Type name for contact and confirm by pressing Save.

Operations on records

Edition

Editing records in public book is only possible with given appropriate priviledges. To edit private book records, there is no need for any priviledges.

1. In standby mode, press Book key.
2. Choose phonebook, in which records needs to be edited.
3. Search for record, you wish to edit.
4. Press Options key and pick Edit.
5. Confirm typed changes, by pressing Save.

Adding new number to contact

For every contact saved in phonebooks, many phone numbers can be assigned.

To add new number for contact:

1. In standby mode, press Book key.
2. Choose phonebook, in which records needs to be edited.
3. Search for record, you wish to edit.
4. Press Options key and pick Add new number.
5. Type new number for contact and confirm changes, by pressing Save.

Copying between phonebooks

If subscriber have proper priviledges for reading and writing in public book, he can also copy records between thos books.

1. In standby mode, press Book key.
2. Choose book from which you want to copy record.
3. Search for records, you wish to copy.
4. Press Options and next Copy. Confirm.

Deleting entries from phonebook

If subscriber have proper priviledges for reading and writing in public book, he can also delete records.

1. Press Book and next Search.
2. Type part of searched name.
3. If entry is not desired one, search more with similar name using up/down buttons.
4. Go into Options, pick Delete. Confirm.

Assigning contact to quick access key

If record from phonebook is frequently used, it is usefull to assign it to one of quick access key.

1. In standby mode, press Book key.
2. Choose phonebook, form which you want to add contact under quick access key.
3. Search for desired record.
4. Press Options and select Assign key.
5. Press key, to which this records needs to be attached.
6. Confirm choise, pressing Save.
